# Prepare a training edition

The Optimal Flow · Learn · Operations kit 1.0 · 2026-10-13

This kit turns the approved basic package into editable records: versioned materials, preparation with owners, a brief recommendation/communication kit/report and a participation accessibility baseline. It does not establish that a trainer has rehearsed a programme or that an edition is ready. Dates, people, links and real evidence are completed through the agreement and checks for each edition.

## Before the first session

1. Open the edition register and choose the programme, modules, hours, language, format and group. Annex durations are catalogue references, not a confirmed schedule.
2. Assign a person to TOF coordination, teaching and the client owner role. The catalogue's planned trainer does not replace availability confirmation or coordinator assignment.
3. Choose the programme annex. Retain its requirements and additional preparation; specify accounts, permissions, devices and permitted data with the client.
4. Agree in writing when the environment will be checked before the first session. There is no universal three-day deadline or new SLA. If lead time is short, agree the check and its consequences before confirming the start.
5. The trainer tests a representative first step using permitted data and agreed access. A test participant checks that they can access and use the required feature. Record the date, result and evidence only when it happens.
6. For a blocker, record its effect on practice, owner and alternative. TOF and the client approve the alternative before starting. Adapting the case, using another environment or separating preparation are explicit decisions; a demonstration does not silently replace individual practice.

## Responsibilities

- TOF coordinator: records the agreement, maintains the register, coordinates the check and documents the decision to start, the blocker or an alternative.
- Trainer: specifies the task, requirements and materials; performs the practice check and records actual resource review and observed capabilities.
- Client owner: prepares or provides the accounts, permissions and devices assigned to the client; collects functional needs privately and distributes approved communications.
- TOF and client: agree recipients, schedule, material access and scope changes. No coordinator name or unlimited availability is assigned by default.

## Delivered materials

A reference guide, exercise materials and review criteria or checklist, carrying programme/edition, language, owner, version and actual review date. The client may retain the delivered copy for internal use. Retention does not imply indefinite TOF hosting, future versions or new programmes included.

Agree where the final copy is stored. If TOF uses a delivery link, document its closing date when applicable; this kit does not set it. The template generation date is not a trainer review date. Report errors in delivered materials through existing support; later updates require a scope agreement. Recordings require prior agreement.

## Recommendation, communication and report

- Brief recommendation/proposal: need, programme or modules, commitment, preparation, budget and exclusions. It is not an audit or a free full strategy.
- Editable communication kit: invitation, preparation, reminder and wrap-up. The client adapts, approves and distributes the messages; these files send no communications.
- Brief group report: capabilities practised and observed, difficulties and the next step, based on the agreed practice and assessment. Agree recipients and delivery date for the edition. Attendance, satisfaction or an exercise are not presented as productivity or employee performance assessment.

Extensive individual reports, later measurements, multiple audience variants and additional follow-up require a separate scope and budget agreement. There is no new public deadline for a commercial response or report delivery.

## Participation and accessibility

Ask privately what the person needs to participate, without requesting diagnoses. Prepare structured documents, contrast, textual explanations and a representative practice that can be checked with a keyboard when relevant. Record tool limitations and agree the alternative before committing. If video is agreed, specify captions or a transcript and a usable format. Confirm specific support and capacity; do not claim universal accessibility or certification.

## Existing support — catalogue wording

One calendar month of email support after the final session, covering the content taught: up to two hours in total for the whole group, with a response within two working days.

The support register helps track the group's total time and distinguish a class question from a new request. It does not extend the window, hours or covered content.

## Accounts and scope — catalogue wording

We agree the required features and access before starting. The client provides accounts and licences; management by TOF is agreed separately. Feature availability depends on the plan and configuration.

Your team carries out the practice with our guidance. Production deployment, system operation and maintenance by TOF are contracted as separate services. Training support is limited to the content taught.

## Decisions outside this package

An additional follow-up session and coordination of multiple groups are not included as approved services. They are explained or quoted separately if TOF decides to offer them.

FUNDAE remains subject to confirmation for each company and edition. The direction is a possible external collaborator for administrative matters only; no collaborator or agreement is confirmed. This kit offers no contracted processing, assumes no organising-entity role and guarantees no subsidy.

## Files and use

Extract the ZIP and open README.md. Edit CSV files in a spreadsheet and guides/annexes in a Markdown editor. Edition, blocker, version and support records contain no real facts. Checklists start pending; mark “Not applicable” only with a reason and the person accepting it.

Keep the fictional blocker example separate: it explains the procedure and cannot close a real check.
