Hours and sessions
4 hours live · 2 sessions of 2 h.
Group size
Up to 12 participants per trainer as a reference, adjusted to the practice and feedback.

What you will learn

  1. 01

Prepare a reusable board explaining the session's objective, instructions and sequence.

  2. 02

Facilitate an activity with clear guidance and participation turns.

  3. 03

Keep decisions, actions and open questions available to consult after the meeting.

A proposed programme

You will prepare a distributed team's weekly meeting: gather context before the call, facilitate a decision and leave a handover that makes sense to someone who could not attend. You will practise with frames, sticky notes and comments without turning the board into a meeting transcript.

We adapt the selection and depth of the modules to the group's starting point and goals.

01

Provide visual context

Frames, instructions and navigation that help people understand how to participate.

You will work on

  • Prepare frames for the objective, advance context and agreements, with one-sentence instructions for each activity.
  • Add advance contributions that distinguish information, questions and decisions needing discussion.
  • Share a link to the starting frame and check that another person can enter and contribute.
Practice
Prepare the coordination board for a customer session, highlighting the scheduling decision and the contributions needed before the meeting.
How you will check it
A board with a clear starting point; another person can find the context and knows where to add their contribution.
02

Facilitate remotely

Activities, timing and guidance for alternating individual work and shared discussion.

You will work on

  • Alternate a few minutes of individual input with brief discussion turns.
  • Group related questions and distinguish decisions from outstanding issues.
  • Close an activity by stating the agreement or missing information, without assuming the consent of someone who has not participated.
Practice
Facilitate a short review of the proposed time, capture an objection and leave a provisional decision with its outstanding condition.
How you will check it
Visible participation and a closing record that distinguishes a proposal from a confirmed agreement.
03

Continue after the meeting

Comments, agreement records and board organisation for later reference.

You will work on

  • Record actions with an owner and date alongside the agreement they relate to.
  • Use a comment to ask for clarification without hiding the decision in the discussion.
  • Check the handover with someone who missed the rehearsal and adjust anything they cannot understand.
Practice
Hand the board to another person so they can explain the proposed time, who must confirm it and where to leave a question.
How you will check it
The person receiving the handover identifies the decision, condition and next step without reconstructing the meeting.

A meeting that makes sense afterwards

Teaching example

Suggested practice: prepare a board for a recurring meeting, rehearse its facilitation and check whether another person understands how to participate and where to find decisions. The format and activities are adapted to the team.

Fictional classroom case. A remote team is preparing a customer session and needs to choose a time. One colleague cannot attend the coordination meeting, and another must confirm the customer's availability.

Starting point
The board contains scattered notes about Tuesday and Thursday. There is no written objective, and someone arriving later cannot tell whether a time has been decided.
First attempt
The first version says “Tuesday at 10, agreed” and leaves the availability reservation in a comment. It does not say who must check it or when.
What we review
The trainer asks the group to make the outstanding condition visible and separate the proposal, decision and action. Nora will confirm availability by Thursday at 12; the absent colleague receives the agreements frame and can leave questions.
Result
The board shows Tuesday at 10 as a proposed time, subject to confirmation. Nora has an action and a deadline; someone who missed the meeting finds the agreement's status without reading every comment.

Coordinate a customer session

  1. Before

    • Objective

      Propose a workable time.

    • Contributions

      Availability and constraints.

  2. During the meeting

    • Proposal

      Tuesday · 10:00.

    • Reservation

      Customer confirmation pending.

  3. When continuing

    • Nora confirms

      By Thursday · 12:00.

    • Handover

      Read agreements and leave questions.

Teaching illustration of a fictional case. Agreements remain visible and questions are kept alongside their context.

Before calling it complete

  • The starting frame explains the purpose of the meeting and how to contribute.
  • The proposed time retains the outstanding condition and is not shown as confirmed.
  • Another person finds Nora's action, its deadline and where to ask a question.

Sessions to put it into practice.

A Miro account, board access and a connection suitable for live participation. Preparing or adjusting boards requires editing permission; facilitation features are selected around the available plan.

Every participant needs editing access to the practice board to contribute sticky notes, and a computer with a connection suitable for the call. We check permissions and the board link before the session. Comments help clarify questions; final agreements will also remain visible on the board. We adapt the timer and other features to the available plan.
