Policy and payment collection automation with n8n, OCR and Excel Online
Three n8n flows: adding policies from CSV without duplicates, reading emailed payment receipts with OCR, and forwarding them to the insurer with confirmation to the client.
The starting point.
At Alea Seguros, policy registration and payment tracking were spread across CSV files, Outlook inboxes and Excel. There was a risk of duplicate records, unmatched receipts and manual forwarding to each insurer, with limited traceability throughout the payment collection process.
How we did it.
Three n8n automations were implemented. The first flow receives Qstom's CSV, generates a hash for each policy and client, and inserts only new records. The second monitors the payments inbox, downloads attachments, extracts the policy, amount and date with OCR, and writes to Excel Online while avoiding duplicates. The third forwards the receipt to the insurer and confirms it to the client by email.
What changed.
Duplicate-free registration
A unique hash for each policy and client before writing a record.
Payments read from the inbox
OCR on PDFs or images, automatically matched against the policy records.
Traceable forwarding
The receipt goes to the insurer and confirmation to the client within the same process.
A smaller manual queue
Unmatched items remain for review; clear matches continue automatically.
