What you will learn

  1. 01

Prepare a request with context, an objective and review criteria.

  2. 02

Turn authorised information into a draft or summary and distinguish facts, inferences and missing data when reviewing it.

  3. 03

Organise instructions and files for a recurring task and document how to check and update the result.

A proposed programme

Prepare a monthly internal-request report and a short note sharing its main points with the team. Using fictional documents, give ChatGPT context, organise information and adapt the writing to its reader. Then incorporate an updated source and leave instructions for repeating the task with the correct reporting-period data.

We adapt the selection and depth of the modules to the group's starting point and goals.

01

Work with context

Conversations, instructions and selection of suitable information for each task.

You will work on

  • Define the report’s reader, period and purpose before requesting a draft.
  • Identify each report’s current version and separate figures, observations and missing information.
  • Prepare a request with specific sources, a structure and criteria for checking the result.
Practice
Organise the May log and practice internal notes; define what Operations needs to know and prepare the report outline.
How you will check it
An outline and instruction with the period, reader, sources and questions the report needs to answer.
02

Apply it to real tasks

Drafts, summaries and information organisation using examples from the group's work.

You will work on

  • Turn the log and notes into a short report with figures, observations and outstanding matters.
  • Adapt the report into a team note, adjusting length, structure and tone without changing its data.
  • Check figures and conclusions against the sources before finalising either text.
Practice
Draft the May report and a five-line team note; check that both communicate the same content at the right level of detail.
How you will check it
A structured report and short note with traceable figures and clearly identified open questions.
03

Review and reuse

Fact checking and preparation of instructions that the team can adapt.

You will work on

  • Replace the earlier reference with the corrected version and explicitly identify which source to use.
  • Update figures and messages in both texts when the source changes, without assuming an old upload updates itself.
  • Save instructions and a checklist for repeating the task; organise material in a Project if it suits the environment.
Practice
Incorporate the corrected log, update both texts and hand the instructions and checklist to another person.
How you will check it
Updated texts and a reusable guide identifying the current source and explaining changes.

A monthly report ready for the team

Teaching example

Suggested practice: prepare a draft recurring report with practice documents, check it against its sources and review what changes when one of them is updated. We can use a Project when it fits the scope and plan. The exercise is agreed for each edition.

Fictional classroom case. Operations needs to summarise May’s internal requests and share the main points with the team. We use a log and internal notes. The corrected log records 40 received, 26 resolved and 14 pending, replacing an earlier count of 28 resolved. No comparable previous-month data is available.

Starting point
Figures and observations are spread across a log and notes. Every month someone brings them together, writes the report and summarises it again for the team.
First attempt
The group asks ChatGPT for a report with figures, observations and outstanding matters, plus a short team note. The teaching draft we review retains a figure from the earlier log and a monthly comparison with no source.
What we review
The trainer helps organise the message and check it against the current log. The group updates the figures, removes the unsupported comparison and checks that the report and short note communicate the same content.
Result
The result is a May report and short note with 40 requests received, 26 resolved and 14 pending. Both identify the current source; the instruction and checklist can be reused for the next reporting period.
Current source

Request log · May · version 2

Received
40 requests.
Resolved
26; corrects the earlier version’s 28.
Pending
14 after reviewing two incorrect closures.
Previous month
No comparable figures supplied.
Working instruction

Prepare a short May report with figures, observations and outstanding matters, plus a five-line team note. Use version 2 instead of the earlier log. Check data and avoid unsupported comparisons; retain the same essential content in both texts.

Draft we review

We received 40 requests and resolved 28. Service improved compared with the previous month.

After checking the source

According to May’s log, version 2, 40 requests were received: 26 resolved and 14 pending. Two closures from the earlier version are corrected. Without comparable prior-month data, no monthly improvement is claimed.

Teaching texts from a fictional case; the draft illustrates errors for review practice, not a guaranteed ChatGPT response.

Before calling it complete

  • The report identifies its period and current source versions.
  • Figures match the corrected log, with no earlier-version values left behind.
  • Comparisons and conclusions rely on available data; information gaps stay explicit.

Four sessions to put it into practice.

If your team needs to go further

  • Automating source updates, connecting company systems or distributing reports requires separate scope.
