An internal dashboard and AI automation for managing construction estimates and suppliers

A Next.js dashboard brings projects, offers and estimates together, while n8n classifies emails, extracts sections and line items from PDFs using OCR and AI, and records the information in Supabase. The same system assists the team with supplier enquiries and routes anything it cannot resolve automatically for human review.

The starting point.

FormaPrima needed to organise construction estimates arriving from different suppliers in different formats. Each document required the project and offer to be identified, sections and line items to be extracted, and amounts to be reviewed and proposals compared. Supplier enquiries also needed a way to receive answers based on project information and reach a person when human judgement was required.

How we did it.

An internal Next.js dashboard connected to Supabase was developed to manage projects, offers and estimates. n8n flows classify incoming emails and process PDFs with OCR and AI, structuring data into sections and line items for review and comparison. The dashboard allows assignments to be corrected, classifications to be reviewed and documents with issues to be reprocessed. For supplier support, an agent consults project information and a memory of previous answers; when it cannot find a reliable answer, it creates a ticket for the team to handle from the dashboard. After the human reply, the flow sends the email and saves useful information for future enquiries.

What changed.

Structured estimates

PDFs are converted into sections and line items linked to projects and offers for review.

Proposal comparison

The team can view offers grouped by project and compare their estimates from the dashboard.

Assisted support

The agent answers enquiries using project information and routes those requiring human review.

Centralised tracking

Estimates, supplier conversations, tickets and issues are managed from the same dashboard.
